Collecting Student Feedback Forms in Week 7

Student supports are responsible for ensuring that instructors are given directives to collect feedback from students in week 7 of any program. This is to improve the students' general experience at MaS and help identify key areas we can improve to encourage continued participation in our classes.


1. Send an email to the instructor:

On the day of the week 7 class of any program, student support should email the instructor with the following details:


Subject: Action Required - Feedback Forms Today!


Body:

"Hi [Instructor's Name],


We are now having students complete feedback forms in week 7 of every program and tonight is week 7 for your [Program Name] class. This will help the whole MaS team be better and better.


Please do so tonight 🙏😊


Here’s how:


  1. Around 9pm, tell the class, “I have a favor to ask of you. I’d like everyone to please quickly get their phones and come back to the floor.”

  2. Say “Our mission at Movers and Shakers is to create the best salsa and bachata educational experience on Earth. We are doing feedback forms in all programs now to help us be better and better for you. These are anonymous. Name is optional. I’d like to ask if you’ll just take 10 minutes to do them now. I really appreciate your help!”

  3. Show the QR code to everyone in the class (I've attached it in this email)

  4. Turn off music so they can focus.

  5. Put timer on for 10 minutes. After 5 minutes, tell them “we’ll take about 5 more minutes.” At 8 minutes, tell them “we’ll take about 2 more minutes.” Try to wait until everyone is done. Don’t go longer than 10 minutes though.

  6. Afterwards, THANK THEM and tell them you really appreciate their support. Tell them you read every form so that you can keep being better for them.

  7. This process will drop the energy in the room to zero. When you restart class, quickly re-energize the group again with dancing to music and lots of movement and fun immediately.

  8. Please extend class by 10 minutes (if at a studio that’s not super strict) to help them feel they received their whole time.


Thank you so much!"



2. Send a text message to the instructor:

Immediately after sending the email, send the following text message to the instructor:


"Hi [Instructor's Name]! We are now having students complete feedback forms in week 7 of every program. This will help the whole MaS team be better and better. I just emailed you how to do it. Please have a look :) Thank you!


3. Send a follow-up email to absent students:

The day after the week 7 class, confirm that feedback forms were submitted. Identify any students who were absent and email them the following:


Subject: How's class?


Content: "FIRSTNAME, yesterday, all the students did the feedback form for the program.


Will you share your thoughts now as well?



This helps us be better for you.


Thank you!"


If there is no response after 3 days, text the following message to those who didn’t respond:

Hey [Student]! Were you able to see my email from 3 days ago?


If they respond, say:

The students all did anonymous feedback forms in class. We missed you and hope you’re okay! Would you kindly share your thoughts too? It’s quick, anonymous, and helps us be better for you.


If they agree, text them the link to the feedback form.
